How do I change my Auto Attendant greeting?

You can easily record greetings and menu options for callers in Account Manager, enabling you to configure your IVR (Interactive Voice Response) options with a brand-new audio file greeting at any time. You can record and select greetings to play on specific holidays in advance. This flexibility gives you the power to:

  • Let callers know that your office is closed for a holiday
  • Promote special sales and offers for callers to hear on selected dates, before the caller selects a menu option
  • Prepare special IVR instructions for callers on specific dates, when you anticipate a high call volume

Here’s how:

To Access Holiday Greetings Setup:

  1. Log in to Account Manager.
  2. In the Phone System menu on the left, click Auto Attendant to display a list of your Auto Attendants.
  3. On the row of the Auto Attendant that you wish to change, click Edit in the Actions column. The Edit Auto Attendant page displays.

  4. Scroll down and click the plus sign (+) to expand Holiday Hour Rules and Recordings.

  5. In the Holiday Hours window, in the Auto Attendant: Main Menu, scroll down to the Manage Recordings tab.

  6. Select or record a holiday hours greeting:
  • Upload Recording to select an existing audio file from your computer
  • Record Recording to record a greeting using your phone. The CustomGreeting file will save in the list of Recordings displayed here

 

To Upload Greetings:

  1. To upload an existing audio file from your computer, click Upload Recording.
  2. Click the Add button.

  3. Locate and select the audio file on your computer.
  4. Click Upload.
  5. Click I Agree to certify that you own legal rights to use the audio file you selected.
  6. In the confirmation dialog box, click OK.
  7. The file will display in the list of Recordings under the Manage Recordings tab.
  8. To enable the greeting, select the checkbox in the Active column. The active greeting always displays last in the list of recordings.
  9. In the pop-window, click OK.
  10. Click to Save changes. The Success message displays.

NOTE: Audio files are limited to 10mb and must be in an accepted file format: .au, .wav, .vox or .mp3.

 

To Record a New Greeting:

  1. Click Record Recording and follow the on-screen instructions.
  2. If you'd like, use the text box to the right to compose your greeting and read it aloud.
  3. Enter your number, click Start Recording, and follow the verbal instructions.
  4. Click Done Recording when you are finished
  5. The recording will display in the list of Recordings under the Manage Recordings tab.
  6. To enable the greeting, select the checkbox in the Active column. The active greeting always displays last in the list of recordings.
  7. In the pop-window, click OK.
  8. Click to Save changes. The Success message displays.

 

To Test Your Holiday Greeting:

  1. Directly under the Holiday Hours menu bar, click Test Menu.

  2. Follow the on-screen instructions, then click Test Menu.
